The visible work — checking out books, shelving, the occasional shush — is the least of it, and most of it is no longer done by librarians at all. The professional core is invisible to the casual visitor: deciding what belongs in the collection and what must leave it, describing every item so that machines and strangers can find it, and conducting the small diagnostic interview that turns "do you have anything on birds?" into the wildlife-law question it actually was.

It is also a trade with a genuine technical literature. Librarians argue from named principles — Cutter's rules, Ranganathan's laws, Bates's berrypicking — the way engineers argue from mechanics, and the craft knowledge below is the kind cited by author and year at the reference desk, not folk wisdom.

  1. 7–9 Before the doors open

    Emptying the overnight book drop, running the sorter, pulling the day's hold requests, checking that the catalog, self-checkout and public computers survived the night's system updates.

  2. 9–12 Desk and floor

    Reference questions, reader's advisory, tech help and form-filling assistance — interleaved, on a public desk, with no control over what arrives next: a genealogy puzzle, a homework crisis, a person who simply needs somewhere warm.

  3. 12–13 Collection work

    Reviewing new titles and patron requests, placing orders, weeding a shelf range against the circulation reports — the quiet hour in which the library's future shape is actually decided.

  4. 13–15 Programs and teaching

    The day's scheduled sessions: storytime for toddlers, a school class visit, a citizenship-test study group, or — in an academic library — an information-literacy seminar booked by a course instructor.

  5. 15–18 Metadata, displays and meetings

    Cataloging the items the shared database got wrong, building displays, answering collection-challenge correspondence, and the committee meetings any public institution runs on.

    Late shifts cover evening study hours and events; after closing, the building keeps lending without staff — e-book checkouts, renewals and overnight system jobs tick on until the book drop starts filling again.

Negotiate the question, never answer the first one

People compress their real need into whatever they think a library can answer, so the stated question is usually a translation error. The technique: answer nothing yet, ask open follow-ups — what brought this up, what will you do with it — and verify at the end that the need was met. Taylor's study of question negotiation remains the definitive analysis of why the person asking often cannot state what they need.

File under the word the public will look for

Cutter's rule from 1876 still settles cataloging arguments: when the technically correct heading and the one readers will actually seek diverge, the reader wins. It is why catalogs use "Mark Twain" rather than "Samuel Clemens," and the principle now governs website navigation and tagging debates just as it once governed card filing.

Save the time of the reader

Ranganathan's Fourth Law works as a spatial and workflow doctrine, not a slogan: put the holds shelf by the entrance, sign the stacks from the visitor's viewpoint rather than the staff's, and count every step and click a design forces on a user as a cost the library chose to impose.

The CREW method's checklist for discarding stock — Misleading, Ugly, Superseded, Trivial, Irrelevant, or obtainable Elsewhere — turns the emotionally hard act of throwing away books into a defensible routine. The craft insight underneath: a crowded shelf hides its best titles, and circulation rises when a collection shrinks well.

Search by berrypicking, not by one perfect query

Bates showed that real searches evolve: each find changes the question, and the answer assembles bit by bit across different sources. Working librarians therefore run several imperfect searches in different systems rather than polishing one query — and teach patrons that revising the question mid-search is the method working, not failing.

Freeze wet books within 48 hours

After flood or fire-hose damage, mold blooms in warm wet paper within about two days — so the salvage rule is to stabilize first and restore later: interleave, crate and freeze the books, then vacuum freeze-dry them months later. The doctrine comes from the Library of Congress salvage manual written after the 1966 Florence flood taught conservators the hard way.

Tools of the trade

Integrated library system (ILS)

The database that runs everything — acquisitions, cataloging, circulation, patrons. Commercial platforms like Ex Libris Alma dominate academia, while Koha, begun by New Zealand's Horowhenua Library Trust and live since 2000, became the world's first open-source ILS and now runs thousands of libraries.

Classification schedules

The Dewey Decimal Classification (23 print editions since 1876, used in over 135 countries), the Library of Congress Classification in research libraries, and the Universal Decimal Classification across much of Europe — the maps that decide where knowledge physically sits.

MARC 21 and RDA

The machine-readable record format Henriette Avram built at the Library of Congress in the 1960s, and the cataloging code (Resource Description and Access) governing what goes in each field. Every catalog search anywhere rides on these records.

OCLC WorldCat

The shared global catalog: over 500 million bibliographic records built cooperatively since 1971, letting a librarian download and adapt a record in seconds instead of describing each book from scratch — the single biggest labor-saving device in the trade's history.

RFID self-service and materials handling

Radio-tag checkout gates, self-service kiosks and conveyor-fed sorting machines now do most circulation mechanically, returning items to shelf-order bins without a human touch — the technology that freed, and eliminated, the desk work of a generation.

How people fail at it

Curating for yourself, not the community

Building the collection you admire rather than the one your users need — and refusing to weed out of reverence for books as objects — slowly turns a working library into a private museum with public funding. Circulation data is the corrective, and the discipline to act on it is what separates stewardship from hoarding.

Waiting behind the desk

A service that only responds is invisible to everyone who never asks, and invisible services lose their budgets. Librarians who skip outreach — schools, employers, councils, the users who never come in — routinely discover at funding time that no one who mattered knew what the library did.

Ceding the systems to vendors

Treating the catalog, discovery layer and e-lending platforms as IT's or the supplier's business hands the library's future to whoever controls its data. The profession's hardest recent lessons — e-book licensing terms, opaque algorithms deciding what patrons see — landed exactly where librarians had stopped reading the contracts.
